As we continue to grow, we’re looking for an organized, proactive Part-Time Office Manager to manage essential office operations, executive support, and administrative coordination. Role Overview

The Office Manager will play a vital role in ensuring smooth daily operations, providing executive support, and managing key relationships, such as with our accounting team. In this role, you’ll handle various administrative duties that enable our team to focus on strategic initiatives and client service.

 

Responsibilities

  • Office Administration: Maintain an organized, well-equipped workspace by overseeing office supplies, coordinating with vendors, and ensuring the functionality of office equipment.
  • Executive Support: Assist in managing executive schedules, coordinating meetings, and ensuring agendas are prepared for seamless daily operations.
  • Relationship Management: Serve as the primary contact for our accountants, assisting with document preparation, invoicing coordination, and ensuring accurate financial records.
  • Visitor & Client Reception: Welcome visitors, manage incoming calls, and serve as a professional first point of contact for clients and partners.
  • Event Coordination: Support planning and logistics for meetings, team events, and client gatherings to foster a positive, collaborative environment.
  • Documentation & Data Management: Organize records, prepare documents, and maintain an efficient filing system that ensures quick, easy access to information.
  • Inventory & Budget Management: Oversee office supplies inventory, manage orders, and adhere to budget guidelines for office expenditures.
  • Team Support: Respond to team requests for office assistance, facilitating smooth operations and supporting productivity.

 

Key Qualifications

  • Experience: 2+ years of experience in office administration, executive assistance, or operations, ideally in a dynamic or startup environment.
  • Organizational Skills: Exceptional organizational and time-management abilities, capable of handling multiple tasks and prioritizing effectively.
  • Executive Support: Experience managing executive agendas and supporting leadership with scheduling, travel arrangements, and meeting preparation.
  • Communication & Relationship Skills: Strong interpersonal skills to build and manage professional relationships with accountants, vendors, and clients.
  • Basic Financial Understanding: Familiarity with basic financial and accounting principles to support coordination with accounting teams and ensure accurate invoicing and documentation.
  • Tech Proficiency: Proficiency in office software (Microsoft Office, Google Workspace) and comfort with learning new tools and systems.
  • Attention to Detail: Meticulous attention to detail and a commitment to accuracy in all responsibilities.

 

Working Hours

This is a part-time position, approximately 25 hours per week, with flexibility for additional hours during special projects or events.
